Join Our Team

Logistics Lead

Role Description: Oversees the full logistics operations for the conference, ensuring seamless planning, coordination, and execution across all venues, schedules, and teams. Serves as the central point of communication between Logistics Coordinators, Events, Finance, Sponsorship, and external partners. Responsibilities • Develop and manage the overall logistics plan for the conference, including scheduling, venue operations, transportation, and equipment needs • Lead and support the Logistics Coordinators, assigning tasks, setting deadlines, and ensuring accountability • Oversee venue communications, vendor relationships, and onsite operations • Coordinate closely with Events, Sponsorship, Finance, and Marketing to align timelines and resource requirements • Troubleshoot and resolve operational issues before and during the conference • Ensure compliance with safety protocols, accessibility requirements, and conference policies • Maintain clear documentation and updated logistics materials for all coordinators • Provide day-of leadership by overseeing load-in/out, volunteer coordination, and real-time problem solving Time Commitment • Early term: ~5 hours/week • Promotion ramp-up: ~6 hours/week • Conference week: High availability required, especially during setup, event days, and teardown. • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills & Experience (Required) • Prior experience in logistics, operations, event planning, or project coordination • Strong leadership and organizational skills, with the ability to oversee multiple workstreams • Experience managing teams, delegating tasks, and providing clear, constructive feedback • Familiarity with scheduling tools, project management platforms, and operations workflows • Excellent communication skills and confidence in coordinating with internal teams and external vendors • Strong problem-solving abilities and comfort working in fast-paced, high-pressure environments • Ability to anticipate logistical needs and proactively address challenges

Logistics Coordinator

Role Description: Oversees the planning and execution of conference operations and on-site logistics, ensuring everything runs smoothly before and during the event. Responsibilities • Book venues and rooms (main hall, breakout rooms, poster space) • Coordinate room layouts (seating, tables, poster boards) • Ensure accessibility needs are met (wheelchair access, seating, etc.) • Manage signage (directions, room labels, schedules) • Oversee food planning and catering • Drafting + writing contracts • Coordinate with campus services for: • Security • AV / tech setup (mics, projectors, laptops) • Create and manage the conference-day schedule flow • Be present on conference day to troubleshoot logistics • Coordinate Volunteers • Recruit and manage conference volunteers • Create volunteer roles and shift schedules • Coordinate training and briefing sessions • Serve as main point of contact for volunteers • Handle volunteer check-in and day-of coordination • Troubleshoot volunteer-related issues during the conference Time Commitment • Early planning: ~4 hrs/week • 1 month before conference: ~3 - 5 hrs/week • Conference week: higher availability (especially day-of) • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills • Highly organized and detail-oriented • Clear and effective verbal communication skills • Comfortable directing and coordinating volunteers in a fast-paced environment • Able to make quick sound decisions and resolve issues as they arise • Composed and effective under pressure • Demonstrates confidence in tackling unfamiliar tasks through proactive learning, resourcefulness, and thoughtful questioning • No prior experience required, but considered an asset

Academic Coordinator

Role Description: Leads the poster presentation process by creating submission guidelines, communicating with student presenters and psychology professors, reviewing abstracts, and organizing poster layouts and schedules. Responsibilities • Lead the poster presentation portion of the conference • Create poster submission guidelines and timelines • Communicate with student presenters • Review abstracts and ensure academic quality • Organize poster layouts and assignments • Coordinate judging or feedback (if applicable) • Assist with scheduling research presentations Time Commitment • Early term: ~4-5 hours/week • Poster submission period: ~3 hours/week • Conference week: moderate availability (especially day-of) • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills • Requirement: Third / Fourth year standing OR significant research experience • Interest in academia or graduate studies is an asset • Strong written communication skills • Proactive problem-solving • Ability to manage deadlines and juggle multiple requests

InterUniveristy Coordinator

Role Description: Maintains communication and relationships with other universities, acting as the main point of contact for inter-university coordination. Responsibilities • Manage and maintain ongoing communication with psychology societies and representatives at Ontario universities • Initiate outreach to 17 Ontario universities via email Build and coordinate sustained relationships with partner universities and relay key conference information as needed • Monitor and facilitate inter-university discussions (preferably by creating and managing a shared Discord or similar platform) • Serve as the primary point of contact for all participating universities Time Commitment • Ongoing: ~5 hours/week • Poster submission period: ~5 hours/week • Conference week: ~4 hours/week • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills • Strong written communication and professional email etiquette • Organized and comfortable managing multiple institutional contacts • Required: Responsive and reliable with timely follow-ups

Finance Coordinator

Role Description: Supports the financial management of the conference by tracking budgets and expenses and ensuring accurate record keeping. Responsibilities • Manage the conference budget • Track expenses and reimbursements • Allocate funds across logistics, food, and marketing • Maintain clear financial records and spreadsheets • Work closely with Sponsorship Coordinator on incoming funds Time Commitment • Ongoing: ~4 hours/week • Closer to conference: 4 hours/week • Post conference day: 4 hours / week • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills • Organized and detail-oriented • Comfortable working with spreadsheets • Finance background helpful but not required • Be able to work closely with others

Sponsorship Coordinator

Role Description: Identifies and contacts potential sponsors, pitches the conference in-person and online, and manages sponsorship proposals and relationships while coordinating benefits and packages with Finance and Marketing. Responsibilities • Identify, research, and contact potential corporate and institutional sponsors • Confidently pitch the conference in person and virtually to potential sponsors (e.g., meetings, networking events, drop-ins) • Draft, submit, and manage formal sponsorship applications and proposals (minimum 1 application per week) • Maintain ongoing sponsor relationships, including follow-ups and negotiations • Coordinate sponsor benefits (logos, recognition, booths, speaking opportunities, etc.) • Work closely with the Finance and Marketing teams to align sponsorship packages and messaging Time Commitment • Early term: ~5–6 hours/week (Requires higher availability than later) • Closer to conference week: moderate availability, gradually decreasing • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills & Experience • Required: Prior experience in sponsorship, fundraising, sales, outreach, or business development • Required: Demonstrated ability to pitch ideas verbally and in writing • Required: Strong professional communication skills (email, proposals, meetings) • Required: Comfortable representing the organization face-to-face with potential sponsors • Required: Organized, confident, and reliable with deadlines and follow-ups Note: This role is highly outward-facing and requires comfort standing in a room with potential sponsors and selling the conference. Students minoring in legal studies and/or business are encouraged to apply. If you prefer behind-the-scenes work, this role is not recommended.

Marketing Coordinator

Role Description: Creates and posts engaging social media content, supports promotional campaigns, and helps maintain consistent branding while working with the Marketing Lead and other teams to boost attendance. Responsibilities • Promote the conference across platforms to increase awareness • Create and post engaging, fun, and meaningful social media content • Design or coordinate promotional graphics • Help maintain consistent branding and messaging • Coordinate promotion timelines with Events and Sponsorship teams • Support attendee recruitment and engagement through online outreach Time Commitment • Early term: ~4 hours/week • Promotion ramp-up: ~5 hours/week • Conference week: moderate availability (especially day-of) • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills • Familiarity with social media platforms • Creative and consistent communication • Experience with Canva or similar tools is an asset • Requirement: Must be comfortable appearing on camera and publicly representing the conference on social media

Merch Coordinator

Role Description: Manages all aspects of conference merchandise, including planning, coordination, and distribution. Responsibilities • Develop and manage the conference merchandise strategy (e.g., designs, items, pricing) • Coordinate with suppliers and vendors to obtain quotes, samples, and timelines • Create and manage merch ordering forms and inventory tracking • Collaborate with Marketing to ensure merch aligns with branding and promotional efforts • Oversee distribution and sales of merch during the conference Track merchandise budget, quantities, and sales outcomes Time Commitment • Early term: ~2 hours/week • Promotion ramp-up: ~2–3 hours/week • Conference week: moderate availability, especially for merch setup and sales • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills • Strong organizational and planning skills • Basic knowledge of budgeting and inventory management • Comfortable communicating with vendors and suppliers • Creative eye for design and branding • Experience with Canva or design tools is an asset

Graphics Coordinator

Role Description: Responsible for creating visual assets for the conference, ensuring all graphics align with the event’s branding, messaging, and overall visual identity. Supports multiple teams by producing high-quality digital and print materials. Responsibilities • Design graphics for marketing campaigns, social media, presentations, merchandise, signage, and event materials • Maintain and uphold a consistent visual identity across all conference platforms and teams • Collaborate closely with the Marketing, Events, Logistics, and Sponsorship teams to fulfill graphic needs • Manage a request pipeline, ensuring timely delivery of assets based on priority and deadlines • Prepare design files for print and digital distribution (correct formats, resolutions, and specifications) • Update and manage brand guidelines to ensure consistency • Incorporate feedback from leadership and coordinators to refine visuals • Work closely with the Marketing Lead to align on style and workflow Time Commitment • Early term: ~4 hours/week • Promotion ramp-up: ~5 hours/week • Conference week: moderate availability, especially for merch setup and sales • Must be available and committed to work through Winter 2026, Spring 2026, Fall 2026. Skills • Required: Proficiency with Canva, Adobe Creative Suite, or other design tools • Strong graphic design abilities with an eye for layout, color, and visual hierarchy • Ability to follow and maintain brand consistency • Good communication and collaboration skills, especially when working with multiple teams • Ability to manage deadlines and juggle multiple design requests • Basic understanding of file formats, print specifications, and digital media sizing • Creativity and willingness to incorporate feedback
